Please read carefully. These terms include important provisions about limitations of liability, dispute resolution, and your responsibilities as a user. By creating an account or using ScholarLedger, you agree to be bound by these terms.
1. Service description#
ScholarLedger (“ScholarLedger,” “we,” “us,” or “our”) is an independent documentation and payment-facilitation platform designed for Florida FTC-PEP scholarship families and the tutors who serve them. ScholarLedger is not affiliated with, endorsed by, sponsored by, or operated by Step Up for Students, the Florida Department of Education, EMA Marketplace, ClassWallet, or any other government entity or scholarship administrator.
The platform helps users create, organize, and store records related to private tutoring services and their associated payments. ScholarLedger is a software tool only — we do not approve, deny, or process scholarship reimbursements.
2. Eligibility & accounts#
You must be at least 18 years old and capable of forming a binding contract to use ScholarLedger. By creating an account, you represent that all information you provide is accurate, current, and complete, and that you will keep it updated.
You are responsible for safeguarding your account credentials and for all activity that occurs under your account. Notify us promptly at support@scholarledger.org if you suspect unauthorized use.
3. No guarantee of reimbursement#
ScholarLedger structures documentation to align with published FTC-PEP requirements at the time of generation. Final reimbursement approval is determined solely by Step Up for Students (or the applicable scholarship administrator). ScholarLedger makes no representation, warranty, or guarantee that any session, invoice, or reimbursement request will be approved, paid, or accepted.
Reimbursement-capacity figures, “pending” balances, and other estimates shown in the platform are derived from the data you enter and are not official balances from any scholarship program.
4. Fees#
ScholarLedger is free to create an account and use core documentation features. Fees apply only when a session payment is made through the platform. Each in-platform session payment includes a flat 10% technology platform fee charged to the parent at checkout.
This platform fee is charged for use of the ScholarLedger software and payment- facilitation services. It is not a scholarship processing or reimbursement fee. Reimbursability of the platform fee under any scholarship program is determined solely by the applicable scholarship administrator and is not guaranteed. Payment-processing costs are absorbed by ScholarLedger. Tutors receive 100% of their stated tutoring rate.
We may change our fees at any time. Fee changes will be effective for transactions initiated after the change is posted on the platform.
5. Payments & refunds#
In-app payments are processed by Stripe, Inc. and are subject to the Stripe Services Agreement. ScholarLedger does not hold, custody, or guarantee funds. Funds are routed to a tutor's connected Stripe Express account via Stripe Connect.
Refunds and chargebacks are between the parent and the tutor. ScholarLedger does not initiate refunds on behalf of either party except where required by law or our payment processor. If you believe a payment was made in error, contact the tutor first; if the dispute cannot be resolved, contact support@scholarledger.org. Platform fees, where charged, are non-refundable except as required by law.
6. Tutors are independent contractors#
Tutors using ScholarLedger are independent contractors of the parent who hires them. They are not employees, agents, or contractors of ScholarLedger. ScholarLedger does not screen, vet, supervise, or guarantee any tutor's qualifications, conduct, or services. ScholarLedger is not responsible for the quality, safety, accuracy, or completeness of tutoring services delivered.
Tax reporting (including Form 1099-K) for payments routed through Stripe Connect is administered by Stripe based on thresholds in effect at the time of payment.
7. Acceptable use#
You agree not to:
- Submit false, misleading, or fraudulent information, including fabricated session records;
- Use the platform to facilitate any unlawful activity or to violate any scholarship program rules;
- Attempt to gain unauthorized access to other accounts or to the platform's systems;
- Reverse engineer, scrape, or interfere with the operation of the platform;
- Upload malware or content that infringes the rights of others;
- Use the platform to harass, abuse, or harm another person.
We may suspend or terminate accounts that violate these rules, with or without notice.
8. Your content#
You retain ownership of the information and documents you submit to ScholarLedger (“Your Content”). By submitting Your Content, you grant ScholarLedger a worldwide, non-exclusive, royalty-free license to host, store, reproduce, and display Your Content solely as needed to operate, maintain, and improve the platform and to provide the services to you.
You represent that you have the right to submit Your Content and that doing so does not violate any law or third-party rights.
9. Intellectual property#
The ScholarLedger name, logo, software, design, and all related materials are the property of ScholarLedger and are protected by copyright, trademark, and other intellectual-property laws. You are granted a limited, non-exclusive, non- transferable, revocable license to access and use the platform for its intended purpose. No other rights are granted.
10. Third-party services#
The platform integrates with third-party services, including Stripe (payments and tax reporting), Google Firebase (authentication and data storage), Resend (transactional email), Cloudflare (security and bot protection), and Vercel (hosting). Your use of these services through ScholarLedger may be subject to their own terms of service and privacy policies. ScholarLedger is not responsible for third-party services.
11. Data retention#
ScholarLedger retains documentation records for a minimum of five (5) years to support scholarship-program audit requirements and applicable recordkeeping rules. Records may be retained longer as needed to comply with legal obligations or to resolve disputes.

Our collection and use of personal information is described in our Privacy Policy, which is incorporated into these terms by reference.
13. Disclaimer of warranties#
Read carefully.
The ScholarLedger platform is provided “as is” and “as available” without warranties of any kind, express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, title, or non-infringement. ScholarLedger does not warrant that the platform will be uninterrupted, secure, or error-free, that defects will be corrected, or that any documentation generated will be accepted or approved by any scholarship administrator. ScholarLedger does not provide legal, tax, financial, or accounting advice.
14. Limitation of liability#
Read carefully.
To the maximum extent permitted by law, ScholarLedger's total cumulative liability arising out of or related to these terms or use of the platform is limited to the greater of (a) the fees paid by you to ScholarLedger in the twelve (12) months prior to the event giving rise to the claim, or (b) one hundred U.S. dollars ($100).
In no event shall ScholarLedger, its officers, directors, employees, affiliates, or agents be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, including without limitation loss of reimbursement funds, loss of data, loss of goodwill, or lost profits, even if advised of the possibility of such damages, and regardless of the theory of liability. Some jurisdictions do not allow the exclusion of certain warranties or limitations of liability, so some of the above may not apply to you.
15. Indemnification#
You agree to indemnify, defend, and hold harmless ScholarLedger and its affiliates, officers, directors, employees, and agents from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys' fees) arising out of or related to (a) your use of the platform, (b) your violation of these terms, (c) your violation of any law or third-party right, or (d) Your Content.
16. User responsibilities#
Parents are solely responsible for confirming scholarship eligibility, verifying that tutors and services meet current FTC-PEP purchasing guidelines, and complying with all scholarship program rules. Tutors are solely responsible for the accuracy of their credentials, their tax obligations, and the quality and safety of their services. ScholarLedger provides tools to organize documentation but is not a scholarship administrator and cannot make eligibility determinations on behalf of any program.
17. Termination#
You may close your account at any time by contacting support. We may suspend or terminate your access at any time, with or without notice, if we believe you have violated these terms, if required by law, or if continued operation of your account would create risk to ScholarLedger or other users.
Upon termination, sections of these terms that by their nature should survive (including limitations of liability, disclaimers, indemnification, intellectual property, governing law, and dispute resolution) will survive.
18. Changes to these terms#
We may update these terms from time to time. When we do, we will revise the “Last updated” date above and, for material changes, provide additional notice (such as an email or in-app notice). Your continued use of the platform after changes take effect constitutes acceptance of the revised terms.
19. Governing law & disputes#
These terms are governed by the laws of the State of Florida, without regard to its conflict-of-laws principles. The exclusive venue for any dispute arising out of or related to these terms or the platform is the state or federal courts located in Florida, and you consent to the personal jurisdiction of those courts.
Before filing any claim, you agree to first contact support@scholarledger.org and attempt in good faith to resolve the dispute informally for at least thirty (30) days.
20. Electronic communications#
By creating an account, you consent to receive communications from us electronically (including by email and in-app notices). These electronic communications satisfy any legal requirement that communications be in writing.
21. Miscellaneous#
These terms, together with our Privacy Policy, constitute the entire agreement between you and ScholarLedger regarding the platform and supersede any prior agreements. If any provision is held unenforceable, the remaining provisions remain in full force and effect. Our failure to enforce any right is not a waiver of that right. You may not assign these terms without our written consent; we may assign them in connection with a merger, acquisition, or sale of assets.
